What is an ATS?
An applicant tracking system (ATS) is software that helps organizations collect applications, move candidates through hiring stages, and record decisions — so recruiting work is not trapped in email threads and spreadsheets alone.
Direct definition
ATS software is the system of record for open roles and applicants. At minimum it stores job postings, applications, stage history, and offer outcomes. Many products add scorecards, careers pages, or integrations with job boards — those extras vary widely by vendor.
Core ATS jobs
- Jobs — define openings, requirements, and posting status.
- Applications — intake resumes and candidate details from portals or uploads.
- Pipeline — move candidates across interview stages with visible ownership.
- Offers — issue and track offer decisions before employment begins.
Standalone ATS vs recruitment inside HRMS
A standalone ATS optimizes recruiting as its primary product. An HRMS recruitment module often covers the same hiring stages but sits next to employee records, onboarding, attendance, and payroll — so the hire can continue into employment workflows without a second master data project.
Teams sometimes keep a specialized ATS and export hires into HRMS. Others prefer hiring inside HRMS when volume and feature depth are a fit. The right choice depends on hiring volume, agency use, and how tightly you want post-offer onboarding connected.
Handoff to onboarding
The offer is not the finish line. After acceptance, HR still needs joining dates, forms, activation, and first-day readiness. When recruitment and onboarding share a product family, that handoff is usually faster and less error-prone than re-typing candidate data.
Hiring stage boards vs project boards
Recruiting pipelines often look like Kanban columns (Applied → Screen → Interview → Offer). Those boards track hiring stages, not project delivery work. Dayzen’s Project Management System (PMS) is a separate product pillar for project work — do not confuse hiring boards with PMS task/sprint boards.
