Employee onboarding checklist
Use this checklist to move a hire from accepted offer to a productive first month. Steps are written for any HR team — you can run them in spreadsheets or an HRMS. Where Dayzen helps, that is called out separately so product claims stay accurate.
What this checklist covers
Onboarding is the path from offer accepted to an employee who can work on day one — records complete, access granted, policies acknowledged, and a clear owner for follow-up. It is not the same as the full employee lifecycle (contracts, raises, resignation, FNF).
HR onboarding checklist
Pre-joining preparation
Confirm offer acceptance, joining date, reporting manager, role/location, and a single onboarding owner. Share joining instructions and a document checklist early enough for candidates to gather IDs and bank/tax details.
Joining documentation
Collect identity, education, prior employment, and any statutory forms required in your jurisdiction. Store copies in a controlled place and note what is still pending before activation.
Account and access setup
Request email, chat, and systems access from IT (or your identity provider). HR systems should create or activate the employee login when the person is ready — do not treat HRMS onboarding as automatic SSO or device provisioning unless your stack actually does that.
Policy acknowledgement
Share handbook, code of conduct, leave/attendance policies, and any role-specific policies. Capture acknowledgement dates.
Orientation
Schedule workplace orientation, team introductions, and a first-week calendar. Clarify who answers day-one questions.
Role setup
Manager checklist: tools, first tasks, success criteria for week one. Keep this separate from formal performance-management cycles unless that is how your organization works.
Assets
Assign laptop, badge, phone, or other company property with serial numbers and condition notes. See the asset handover checklist for join and exit detail.
SOP / procedure reading
Assign required standard operating procedures for the role and confirm reads before or shortly after day one. Use a clear document structure such as the SOP template when drafting procedures.
Follow-up (7 / 30 / 90 days)
Plan short check-ins for paperwork gaps, culture fit, and role clarity. Close open onboarding tasks deliberately rather than letting them linger.
