SOP template for HR and operations
Use this SOP template structure when writing standard operating procedures for HR or operations. Copy the sections into your document tool, then adapt the wording to your organization. Dayzen can assign and track reads — it does not invent the procedure content for you.
How to use this template
Keep each SOP focused on one procedure. Name an owner, write steps an employee can follow without tribal knowledge, and include an acknowledgement line if you require read confirmation.
Copyable SOP structure
1. Title
Clear procedure name (example: “New joiner day-one building access”).
2. Purpose
One or two sentences on why the procedure exists and what outcome it protects.
3. Scope / who it applies to
Roles, locations, or employment types covered — and who is out of scope.
4. Definitions
Terms that could be ambiguous (systems, forms, owners, acronyms).
5. Responsibilities
Who performs, who approves, who is informed. Prefer role names over personal names.
6. Procedure steps (numbered)
Numbered actions in order. One action per step. Include tools/forms used.
7. Exceptions
Known edge cases and who can authorize a deviation.
8. Related documents
Policies, forms, checklists, or parent SOPs.
9. Version / revision history
Version number, date, author, summary of changes.
10. Acknowledgement statement
“I have read and understood this procedure” — for read-confirmation workflows.
Example outline (illustrative)
Title: Monthly attendance freeze for payroll inputs
Purpose: Ensure regularizations are complete before payroll calculation begins
Steps: (1) Announce freeze date (2) Managers clear open regularizations (3) HR confirms unresolved exceptions (4) Finance starts pay run
