Payroll calculation vs filing: what to expect from software
Buyers often hear “payroll software” and assume one product calculates pay, files government returns, and pays bank salaries. Those are related jobs — but they are not the same. Separating them protects accurate vendor evaluation and clearer internal ownership.
Direct answer
| Capability | What it usually means |
|---|---|
| Payroll calculation | Compute earnings, deductions, attendance-linked adjustments (such as LOP), and net pay for a period |
| Payslips | Produce employee-facing pay documents and keep operational records of the run |
| Filing / submission | Submit statutory returns or deposits to government portals / authorities (process varies by jurisdiction) |
| Disbursement | Move net pay to employee bank accounts (often via bank files, treasury, or a payout partner) |
What calculation covers
Calculation is the engine of a pay run: employee master data, salary structure, variable pay, loans/advances, leave or attendance outcomes, and configured statutory components. Outputs typically include a register, variance checks, and payslips.
Strong calculation software still needs clean inputs — especially approved attendance and leave outcomes when pay depends on them.
What filing and disbursement usually mean
Filing is the compliance submission work after (or alongside) calculation: returns, challans, or portal uploads depending on local law. Disbursement is the money movement step — generating bank instructions, approving payouts, and reconciling failures.
Some vendors bundle calculation with filing partners or payout rails. Others stop at calculation and payslips. Neither model is “wrong”; the risk is assuming bundling when the product only documents calculation.
Buyer questions to ask vendors
- Does the product calculate pay and generate payslips in-product?
- Does it claim automatic government portal filing — and for which returns, in which countries?
- Does it initiate bank salary payout, or export files for your bank / partner?
- How does attendance or LOP enter the calculation (sync, import, manual)?
- Who owns corrections after a run is locked — HR, finance, or both?
