Checklist

Employee information checklist

Use this checklist when collecting or auditing employee records. It is written as generic HR practice — useful with spreadsheets or an HRMS. Dayzen notes appear only where product behavior is verified.

People-record checklist

  1. Identity & contact

    Legal name, preferred name, work email, phone, and emergency contact.

  2. Employment identity

    Employee ID, joining date, employment type (full-time, contract, intern, etc.).

  3. Role & org

    Department, designation/title, reporting manager, and work location.

  4. Compensation basics

    Pay structure references and effective dates as your finance process requires (keep sensitive details access-controlled).

  5. Statutory / ID documents (as applicable)

    Organizations often collect jurisdiction-specific IDs (for example PAN or Aadhaar in India). Collect only what policy and law require — this list is not legal advice.

  6. Documents

    Offer letter, ID proofs, contracts, and other employment letters stored in a controlled place.

  7. Access & systems

    Accounts needed for day-one work (generic IT checklist — not automatic provisioning claims).

  8. Assets

    Assigned equipment with serials and condition notes — see the asset handover checklist.

  9. Compliance acknowledgements

    Policy handbook and required SOP reads with dates.
