Project Chat vs Task Comments
Published 9/26/2026 · Updated 9/26/2026 · Dayzen
Mentions and threaded replies exist in both places. A mention names a person who is allowed to see that channel or that task. A reply has a parent message, so the thread stays on the point. Those mechanics are not a reason to create a third place to write. They work wherever you already chose correctly.
Key takeaways
- Use a comment when the task would be wrong without it
- Use the channel when the task is the wrong home
- What neither one is
- A day of mixed messages
Project chat and task comments are both places to write. They are not interchangeable. A channel is the conversation for a project, a section, or a chosen group. A comment is a note on one task, including a reply in that task's thread. Put the decision where the next person will look for it. If they will look at the task, comment. If they will look at the room, use the channel.
Mentions and threaded replies exist in both places. A mention names a person who is allowed to see that channel or that task. A reply has a parent message, so the thread stays on the point. Those mechanics are not a reason to create a third place to write. They work wherever you already chose correctly.
Use a comment when the task would be wrong without it
Comment on the task when the text changes how someone will do that task: a decision, a correction, a link to the file for this card, a reason the due date moved. The next assignee opens the task and should see it. A channel message with the same text is easy to miss, because the channel moves on.
Reply in the thread when you are answering that comment. A new top-level comment is for a new point. Mentions belong on the comment when a specific person must see it and they might not open the task today. Mention people who can already open the task. A mention is not an access grant. If they cannot see the task, naming them does not bring them in. Access is a share or a membership, described in client access without the whole workspace for outside people, and it is the same idea for colleagues: they need to be allowed in before a mention helps.
Do not comment "done" instead of moving the status. The status is the board. The comment is the reason, if a reason is needed.
Use the channel when the task is the wrong home
Use the channel for conversation that is about the project and not about one card: "standup is at ten," "the client moved the review," "who is out Thursday." Forcing that onto a random task hides it from everyone who does not open that card, and it pollutes the card.
A section channel is the smaller room for one area. Which room exists is a scope question. This article only says: if the message is not about one task, it does not belong in a comment.
Threads help in a busy channel the same way they help on a task. Reply to the message you mean. A new message is a new topic. Mentions in a channel reach people who are in that channel, not the whole company, and not someone outside the room.
What neither one is
There is no direct-message object. A custom channel with two people is still a channel you created, not a private inbox baked into the product. Do not describe it as chat in the style of a personal messenger.
There are no reactions and no presence dots to promise. Do not tell people they will see who is online.
A mention is not an email. Do not write a process that depends on mail arriving. The mention is recorded on the message for people who can open that place. If your team only reads email, they will miss it, and the fix is to open the task or the channel, not to expect a mail rule.
Comments and channels also do not change dates, status, or assignees by themselves. If the decision was "due Friday," edit the due date. The comment can say why.
A day of mixed messages
The designer writes in the project channel: "The hero image is approved." The task "Homepage hero" still says In progress, and the comment thread is empty. The developer, who filters to their tasks and does not read the channel every hour, does not see the approval.
The same sentence as a comment on "Homepage hero," with the developer mentioned, sits where the work is. The channel can still carry "review meeting is moved to three" because that is not one task.
The reverse mistake is a task comment that says "everyone: the build is down." People who are not on that task never see it. That sentence belongs in the project channel.
A short rule
- If deleting the task should delete the message, it is a comment.
- If the message should survive after the task is Done, it is probably a channel topic, or it was only useful as history on the task. History on the task can stay as a comment. Instructions for next week belong in the channel or on a new task.
- If you are answering one message, reply. Do not start a parallel copy.
- Mention a person who has access and who would otherwise miss it. Do not mention a crowd.
Guests
A guest who can comment on a shared task can use that comment thread, at the share level you gave them. They should not be pulled into an internal channel to "just answer this." Put the question on the shared task. If the share is view only, they cannot comment. Raising the share is an access change, not a chat setting.
Cleaning up a week of messages in the wrong place
You will find decisions in the channel that should have been comments, and comments that were really announcements. Fix the ones that still change someone's work. Copy the decision onto the task, update the field, and leave the channel message as history. Do not try to relocate an entire month. Old threads are not the system of record. The current status and the current comment are.
If the same person always writes in the wrong place, the rule is not clear to them. Show one example of each, using their own messages, without a policy document. "This approval belongs on the hero task. This schedule change belongs in the project channel." Two examples teach more than a matrix.
Watch for mentions used as assignments. Mentioning Priya does not assign the task to Priya. If she owns it, set the assignee. If she only needed to see the sentence, the mention was enough. Teams that skip the assignee field and mention people instead cannot filter the board by owner, and the mention scrolls away.
Also watch for guests in the project channel. If a guest was added to the room to answer one question, take the question to the shared task and remove them from the broader room when the answer is in. The comment thread is the smaller place. The channel membership is the larger one.
Conclusion
Write on the task when the decision belongs to that task. Write in the channel when it belongs to the room. Use replies for answers and mentions for a person who already has access. Do not expect email, direct messages, or a status change from the act of posting. Discussion in Dayzen lives with the work in /pms.

How to Create a Custom Project Role
A custom project role is a named set of permissions on a workspace, assigned to a member. It answers "what may this person do here?" The map of access layers, organization versus workspace versus a share, is how project access works. This page is the narrower job: create one role and apply it. The example is a reviewer who can comment and must not edit tasks.

Project Channels, Section Channels, and Private Channels
A channel is a room with a scope. The scope decides who is in it. Dayzen has four scopes: the workspace, one project, one section, or a custom list of members. Pick the smallest room that still includes everyone who must hear the conversation. A custom list is how you make a private channel. It is not a direct message feature with an inbox of its own.

Kanban vs Sprints
Kanban and sprints are two ways to use the same board. Kanban, in the practical sense, means the cards keep moving through statuses with no dated container. A sprint, in Dayzen, means you turned cycles on and the work you are doing now sits in a cycle with a start and an end. The board does not go away when you add a cycle. The cycle does not appear just because you use columns.
